By booking with any of our Virtual Assistants or team members, you agree to the following terms:

1. Clarity Before Booking

We want your experience with us to feel aligned and intentional from the start. Before booking, we recommend having a clear understanding of the service you’re choosing and what you hope to receive from it.

If you haven’t yet spoken to Sunny (or the VA you’d like to work with), we recommend booking a complimentary 15-minute consultation to ensure the energy, vision, and offering all feel like a match. When booking a complimentary 15-minute consultation, please select the 30-minute option in the booking link.

If you’re not sure, lost, or feel stuck on what kind of support your business needs, we’re here for you. You can book an Initial Strategy Session focused on identifying your business support needs and matching you with the right VA or service package.

• This session is complimentary when you move forward with any Velvet VA package (see the Velvet VA page for details).

• If, after the session, you decide the partnership isn’t the right fit, there’s a $250 CAD fee for the strategy session — a one-time investment in direction and clarity, honouring the time, energy, and insight shared, with no obligation to continue.

2. The Booking Process

Once payment has been received, we’ll pair you with the Virtual Assistant best suited to your needs and goals. Each service is custom-tailored and intentionally crafted, which means time, energy, and creative planning begin as soon as your booking is confirmed.

Accepted forms of payment can be found at the bottom of the Velvet VA main page. We use most payment options supported by Squarespace for your convenience. On occasion, when working with local clients, we may accept e-transfer, though in most cases, payment through the website is simpler and more secure for both you and us.


3. Payments And Refunds

Because the nature of our work is custom and personalized to you and your business, payments are non-refundable once work has begun.

For monthly plans or retainers, you can cancel your subscription directly through your client account at any time before your next billing date. However, we don’t offer refunds for work that’s already been initiated or completed.

We deeply value clarity, transparency, and integrity — so please book only when you feel ready and aligned with your choice.

4. Rescheduling And “Face-to-Face” Sessions

Most Velvet VA packages include Strategy Calls, and the following rescheduling terms apply to all scheduled sessions where a VA meets with you “face-to-face,” virtually or in-person — including Strategy Calls, Tarot or Rune Readings, and Energetic/Intuitive Sessions.

• We understand that life happens! Sessions may be rescheduled with at least 48 hours’ notice.

• Cancellations or no-shows with less than 48 hours’ notice will result in forfeiture of the session.

• Most Velvet VAs use a booking scheduler like Calendly or Koalendar. Oftentimes, you can reschedule directly via your calendar invite/notification. If not, please connect with your VA as soon as possible to reschedule your time/session.

Strategy Calls can be booked with any VA offering them, and the same rescheduling rules apply to ensure clarity, fairness, and respect for everyone’s time.

5. Communications

All Velvet VA communication happens through a centralized email address, ensuring a single, organized channel for your projects. Your assigned VA will email you from this address, and all project info, assets, links, and strategy call details will be sent from the Velvet VA email address.

Daily to weekly correspondence with your VA(s) happens via WhatsApp, Telegram, or Signal, depending on your/the VA's preferences. Strategy Calls are typically recorded using Fathom, our note-taking tool, so your strategist can stay fully focused on you and your business rather than taking notes. Most video Strategy Calls are held via Zoom.

This centralized and intentional communication structure helps keep your projects organized, secure, and seamless — while giving you clear access to everything you need.

6. Cancellations For Retainers + Packages

• Monthly Retainers / Subscriptions: These are self-managed through our website (via Squarespace). To ensure future billing isn’t processed, we recommend cancelling at least 30–35 days before your next billing date.

• 100-Hour Packages: These are considered final commitments and cannot be cancelled or refunded once initiated. Hours must be used within the agreed-upon time frame and are non-transferable.

7. Rush Orders & Projects

• Rush orders are requests requiring an expedited timeline, priority scheduling, or additional resources beyond Velvet VA's standard project timelines. This may include, but is not limited to, requests requiring completion within seven (7) business days, same-day or next-business-day requests, or any project requiring the Velvet VA team to adjust existing schedules, priorities, or resources to accommodate the requested timeline.

• Acceptance of any rush order is subject to the Velvet VA team's availability and capacity. Velvet VA reserves the right to decline any rush request if we determine that we cannot complete the project to the requested standard, within the requested timeframe, or without impacting existing client commitments.

• All approved rush orders are subject to a minimum rush fee of $120 CAD. The final rush fee will be determined based on the scope, complexity, timeline, required resources, project requirements, and current team availability. The rush fee is in addition to any applicable project fees, hourly charges, monthly retainer services, or other agreed-upon costs.

• For larger projects requiring expedited timelines, including but not limited to graphic design, web design, redesigns, branding projects, launches, or complex marketing initiatives, an additional rush fee will apply. These projects are subject to a minimum rush fee of $700 CAD, with the final amount determined based on project scope, workload, scheduling requirements, planning, resources required, and team capacity. The applicable rush fee will be agreed upon by both parties in writing before work begins.

• For clients on a monthly VA Hours Retainer Package, the applicable rush fee will be invoiced separately via email (you will receive a payment link). Applicable taxes and payment processing fees apply.

• Before any rush project begins, the Client will receive written confirmation of the applicable rush fee and payment request. Velvet VA will not begin work until written approval and full payment of the rush fee have been received.

• Once a rush order has been accepted by Velvet VA and the applicable rush fee has been approved by the Client, the rush fee is considered earned in exchange for priority scheduling, resource allocation, project planning, and administrative coordination. The rush fee is non-refundable, including in situations where the Client cancels the project, delays providing required materials, fails to provide timely approvals, or otherwise prevents completion within the requested timeline.

• If payment and confirmation are not received in sufficient time to meet the requested deadline, Velvet VA reserves the right to decline, postpone, or reschedule the project without liability for any resulting delays.

• Any changes to the project scope, requirements, deliverables, or timeline after acceptance of a rush order may result in additional fees, revised deadlines, or the removal of rush priority.

• The Client is responsible for providing all required content, information, access credentials, approvals, and feedback necessary for completion of the project within the agreed-upon timeline. Velvet VA is not responsible for delays caused by incomplete information, late responses, unavailable resources, or client-requested revisions.

• If any payment is declined, reversed, disputed, or otherwise unsuccessful, Velvet VA reserves the right to immediately suspend all work and/or services until payment has been successfully received.

8. Withholding of Deliverables & Project Access

• Velvet VA reserves the right to withhold any completed or partially completed deliverables, project files, website access, account access, design files, content, materials, or other work product until all outstanding invoices, fees, and applicable charges have been paid in full and successfully processed.

• Payment of any initial deposits, rush fees, or partial payments does not transfer ownership of, grant usage rights to, or provide access to any completed or in-progress deliverables unless otherwise agreed upon by Velvet VA in writing.

• If a Client cancels a project, fails to make payment, disputes a payment, has a payment reversed, or otherwise fails to fulfill their payment obligations, Velvet VA reserves the right to retain possession of all completed and partially completed work until all outstanding balances have been resolved.

• For web design or digital projects, Velvet VA reserves the right to withhold website launches, website transfers, account access, files, credentials, or completed updates until full payment has been received and successfully processed. If payment is reversed, declined, disputed, or otherwise unsuccessful after access or deliverables have been provided, Velvet VA reserves the right to suspend services, restrict access where possible, revert or remove implemented changes where possible, and require payment in full before continuing work.

• Any additional time required to restore, recreate, reimplement, or otherwise address work following a payment failure, cancellation, or unauthorized reversal will be billed separately at a rate of $150 CAD per hour, in addition to any outstanding balances owed.

9. Energy Exchange

All services are considered both energetic and creative exchanges. The results, insights, and transformations you experience may vary based on your energy, participation, and openness to the process.

10. Intuitive + Creative Work Disclaimer

All readings, designs, mentorship, and guidance are intended for personal growth, inspiration, and empowerment. We do not provide medical, legal, or financial advice, and results are not guaranteed — only co-created.

11. Intellectual Property

Once a project or design is completed and delivered, ownership of the work transfers to the client. You are free to use the work as agreed for your business, brand, or personal purposes.

Velvet VA and the individual VA(s) retain the right to showcase the work publicly, such as in portfolios, social media, or marketing materials, as examples of their creative work. We always respect client confidentiality — if an NDA or other agreement is signed that limits public sharing, we will adhere to those terms fully.

This ensures that while you own your custom creations, the VAs and Velvet VA can also share their creative expertise and craft with the world responsibly and respectfully.

12. Confidentiality

Your privacy matters. All sessions and shared information are kept strictly confidential unless you provide written consent for us to share.

13. Respectful Space

We hold our work and relationships with deep respect. We expect mutual kindness, integrity, and open communication in all collaborations.

• If boundaries are crossed or disrespect occurs, we reserve the right to discontinue services without refund.

14. Complimentary Access To The STARDUST Container

Some services include complimentary access to The STARDUST Container. This access is considered a bonus feature and is subject to its own separate Terms & Conditions, which apply in addition to these terms.

All intellectual property rights for content, materials, and creative work within The STARDUST Container remain the property of AbundantBetch and Emerging Reiki Coaching Inc. and Sunny Voitsekhovsky.STARDUST Container materials may not be reproduced, redistributed, or claimed as your own without explicit permission.

By completing your booking and submitting payment, you confirm that you have read, understood, and agreed to these Terms & Conditions.
